Inclusive AI Strategies operates the website at inclusiveaistrategies.com, the learning area at inclusiveaistrategies.com/learn/, and the blog at news.inclusiveaistrategies.com. This policy explains what information the site collects, why, and how it is protected. Personal information is never sold, rented, or traded to anyone, for any reason.

Information collected

What is collected depends on how you interact with the site.

Browsing the site: Umami, a self-hosted analytics tool, collects anonymized usage data including pages visited, referring URL, browser type, device type, and approximate geographic region. It sets no cookies. This data is aggregated and is not used to identify individual visitors. No personally identifiable information is collected through analytics.

Subscribing to the newsletter: When you subscribe through news.inclusiveaistrategies.com, your email address is collected. The newsletter is managed through a WordPress plugin hosted on the same server. Your email is used solely to send you updates on new posts, services, and resources. You can unsubscribe at any time using the link included in every email.

Taking AI Readiness assessments: When you enter your contact information to access the AI Readiness Assessment, the AI Governance Scorecard, the AI Leadership Simulation, or the free Dungeons & Dragons course, your name, email address, role, organization, and results are collected. They are not shared with any third parties. They are used to follow up with an offer of support services.

Creating a learning account: When you register for the online learning area at /learn/, the learning management system collects the information you provide during registration, which typically includes your name and email address. If you participate in course activities, the learning management system also records your course progress and any content you contribute to discussion forums or other interactive activities. Other enrolled participants may see your name and contributions within a shared course.

Contacting Inclusive AI Strategies: If you send an email, your email address and whatever information you include in your message are received.

Using the AI Conversation Simulator: The simulator keeps the practice exchanges you have in it, without your name. The section Using the AI Conversation Simulator below explains what is sent to the LLM, what is kept, and why.

How the information is used

The information collected is used to deliver the services you signed up for (newsletter, course access, consultation), to understand how people use the site so it can be improved, to respond to your questions or requests, and to send you updates you have opted into. It is not used for targeted advertising. No marketing profiles are built. It is not shared with third parties for their own purposes.

Third-party services

The site relies on a limited number of third-party services. Each has its own privacy practices.

Umami provides the web analytics. It is self-hosted on a server Inclusive AI Strategies controls rather than run by an advertising company, it sets no cookies, and it does not identify individual visitors or follow you to other websites. No analytics data goes to Google or to any ad network.

Zoom Scheduler handles consultation bookings. When you book through the “Book a Consultation” link, you interact directly with Zoom’s scheduling platform and are subject to Zoom’s privacy policy.

Web hosting. All three surfaces of the site run on a server Inclusive AI Strategies administers. Server logs may record IP addresses and request data as part of standard web hosting. These logs are used for security and troubleshooting and are not shared externally.

An AI provider generates the feedback and the character replies in the AI Conversation Simulator. Only the text you write in a scenario, and the scenario itself, are sent to it; nothing that identifies you goes with it. The simulator runs on a paid API whose terms do not permit that text to be used to train the provider’s models. See Using the AI Conversation Simulator.

Using the AI Conversation Simulator

The AI Conversation Simulator at inclusiveaistrategies.com/ai_conversation_simulator/ is a practice tool for educators, opened with an access key from a workshop or conference session. Entering a key sets a signed cookie for that page only. When you unlock and visit the page, the server records the key, the time, your IP address, and your browser type, the same way the rest of the site logs requests. No account is created and no name is asked for.

What is sent to the AI provider: In scenarios where you write a message, the text you submit is sent to an LLM through an API, together with the scenario, to generate the feedback and the student’s or parent’s reply. This runs on a paid API whose terms do not permit that text to be used to train the provider’s models. No name, email address, IP address, or cookie is sent with it.

What is kept: The exchange itself: the messages you write, the feedback and replies the model returns, and what the page showed you, along with the scenario, the access key, the time, and a short identifier that links the calls from one browser during a session. The identifier is derived from the cookie and cannot be turned back into the cookie or into you. IP addresses and browser details are not stored with the exchanges. The exchanges are kept so the simulator can be improved: reading how real drafts are evaluated is how the feedback, the scenarios, and the characters get better. They may be accessed by Inclusive AI Strategies for that purpose and no other, they stay on a server Inclusive AI Strategies controls, and they are kept for as long as they are useful for improving the simulator.

What you can do: Please do not include real student names, or your own name. If you do not want your exchanges kept, do not use the simulator; there is no opt-out inside it. If you have used it and want your exchanges deleted, contact Inclusive AI Strategies with the access key you used and roughly when, and they will be removed.

Cookies

The site uses functional cookies only. These include session cookies required for learning management system login and WordPress login, and the access-key cookie that unlocks the AI Conversation Simulator. No marketing, advertising, or tracking cookies are set; the analytics is cookieless. There is no cookie-based retargeting or cross-site tracking.

Data retention

Newsletter subscriber data is retained as long as your subscription is active. If you unsubscribe, your email address is removed from the mailing list. Learning management system account data is retained as long as your account exists to preserve your course progress and any contributions to shared course activities. If you want your account deleted, contact Inclusive AI Strategies and it will be removed. Analytics data is aggregated, contains no personal identifiers, and stays on a server Inclusive AI Strategies controls. Exchanges in the AI Conversation Simulator are kept as described in Using the AI Conversation Simulator.

Data security

The site is served over HTTPS. Learning management system data is stored in a database on a server Inclusive AI Strategies administers. Administrative access to the learning management system database, the WordPress admin panel, and the server hosting environment is restricted. Strong, unique passwords are used and all software is kept updated.

Children’s privacy

Inclusive AI Strategies does not knowingly collect personal information from children under the age of 13. The online learning modules are designed for adult educators and leaders. If you believe a child under 13 has provided personal information, please make contact and it will be deleted.

Your rights

You can unsubscribe from the newsletter at any time. You can request deletion of your learning management system account and associated data by email. The analytics here is cookieless and anonymous, so there is nothing to opt out of. If you have questions about what data is held about you, contact Inclusive AI Strategies for a clear answer.

Changes to this policy

If material changes are made to this policy, this page will be updated and the revision date below will change. Privacy protections will not be reduced retroactively without notice.
